It's sort of been said, but if you are truly donating your time, get the NFP to understand that true value. In reality, that means your biz name should be included in the event materials as a sponsor ... that might get your name out there a little.

They did list me on the sponsor board at the event, and I'm sure that I'm going to be listed on the new one. It may be that they don't understand what they're asking me and I didn't explain it clear enough in the beginning.

I think that if they were asking for any other function, I really wouldn't care, but I know that this specific event was populer (~750 attendees) and there were probably quite a few people that would be interested in photos. So, just to hand them over to the NFP, would be cutting me off at the knees. I've just about decided that I will give them "small" files and they'll get them in a specified time frame. In addition, my logo will be on them and I'm sure that they'll need some sort of permission from me to have them printed at Wally World. Or they can use their laser printers and print on copy paper.

"Not for profit" doesn't mean they don't make a profit. It means they don't pay taxes on the profit.

Hey Bryan,

Here is my two cents worth. Most of these types of functions, especially gala's, are having to spend money to run the event and you are being brought in as additional benefit to the guests. Now talking future tense... I would ensure you look at the gala from the perspective of time. If you work for 5 hours during the event... what is that time worth to you? Assume you don't make a nickel from images after the event. At least you would be paid for the initial time.

Look at this next event as an opportunity to correct some of the mistakes you made and re-align expectations with them. You could add more value to the event by:

- Sell formal images to be mailed to the participants right on the spot (would need at least one if not two assistants), as well as on the web.
- having a self sustaining photo booth (in which the images will be posted online and sold as well)
- give a portion of the print proceeds back to the organization on a per print basis (not to exceed the cost of the original flat fee.

Here is a principle from negotiation...
"Something given away for free, is NEVER fully valued and will ALWAYS result in additional demands."

Professional charge for their time and know they can get it, or find another deal; amateurs don't charge enough because they are afraid of losing any deal.

I know there are PLENTY of opportunities for me to make money shooting photography. I also know there are a fair amount of clients that won't be worth my time.

Hopefully this helps and doesn't sound too much like standing on a soapbox. Meant to be helpful to align yourself for the future.

You can approach it in the way of asking if the people working for the non-profit all work for FREE or if many of them get paid for their work then bring up that you wouldn't mind giving them a discount but you can't do this for free.

As to the already shot images, you can give them small jpg files only that would allow them to make small scrap book size shots but no more, and if they want larger files tell them what the fee is per photo for you to print them out.

This may be a poor idea, I'm not a professional photographer, but what if you gave them the disk, but asked them to post them on their web site - with a click through to order from your site?

If you give them 72dpi sizes for their Gala web site they might actually draw more patrons than you could since people are already plunking down their money...or not.

John Harrington has some good points on this in his business of photography book.
