Different kind of question about email & Spam - 01-11-2007, 07:45 AM

I am having a problem with many of my customers not receiving emails from me. We have the most trouble with Yahoo & AOL email accounts. Most of the time I find out that our customers either never receive the email or the email ends up in their "Spam" or "Trash" folder.

I am using the email accounts from our website. I can not pinpoint when or why it happens, but I have noticed on occasions when I add a link...that when the email get "misplaced" This has become a real problem over the last three months. We usually send links in an email to our customer so they may proof Posters. As you might guess we end up playing the waiting game because we're never sure if the customer received the email, just taking their sweet time to reply, or never got it.

This is an example that happens to me:
To help me keep up with emails while I'm at work I have my business email account setup up to forward a copy of the emails to my Yahoo account. It never fails, anytime a customer uses PhotoReflect to send me an email, that email is automatically send to the "Spam" folder in Yahoo. As part of my routine at work not only do I check the Inbox, but I also have to check the Spam folder as well.

Hopefully you guys can shed some light on this problem or give me a fix.

Thanks,
Sonny

On the customer end -- there is not much you can do other than let them know to adjust their spam filters to allow messages from you.

But on your yahoo issue, there is a button at the top of all mesasges that end up in the bulk mail folder that should say [not spam], so if you see one of these messages that is not a spam message, just click that button, and in the future, messages from the same source won't be filtered in that way in the future. (at least that is how it is supposed to work )

Nevermind -- I'll take care of it myself!

Thanks Paul and Kent. I was hope there was more to it but I guess not....bummer.

I knew about the Not Spam button, but that doesn't fix the problem. I appreciate the help.

My guess is that your web host's IP address is on a 'black list'. Who is your host?

Bad news - Unfortunately, there is not much you can do about it. DPReview.com has a similar issue in that they are in a range of addresses that has been 'black listed' due to a previous owner. I had to use my work address to register since Earthlink blocks all email coming from that range. If your hosts email server address is on a black list then your only real 'fix' is to change hosts.

AOL has serious overkill with their blacklist people. If you are on it for some reason, you can request to be taken off. Basically, their peeps hit REPORT SPAM and tah dah! You've been blacklisted. Then there are other ways to get on there. We had to request to be removed at the server level to correct the issues. AOL, Verison, Comcast, and GMail are supposed to be the worst. Our worst are AOL and comcast.

Good luck. If you cant find the AOL link to ask to be removed ask *Mike* he took care of all of that. MouseCents (my hobby below) has subscribers that get emailed their passwords - they were oober mad when nothing showed up. It is fixable, but you have to stay on top of it.

Goto www.dnsstuff.com and search the MX record for your email domain. Write down the IP address for that MX mail server.

Then do a search with the IP address of that mail server in their spam search. It'll tell you if they are on any of the major black list.

If there are multiple mail servers test each one.

Like it has been said if they're on a black list or more than one the only solution might be to change host.

If you were blacklisted, the emails wouldn't even make it to the recipient's spam folder. They would all bounce.
