Well, this is a good problem to have but it needs to be solved. :) we have grown alot this past year or 2 and we need a new place to have our monthly meetings...some place large enough for all of us but still cheap or better yet free!!! any ideas!!!?? we were even thinking about some place that would do a deal with us...like we give them a photo shoot for the employers or soemthing like that...give me your ideas please :)

We have over 150 members but we average about 60 for a typical meeting unless its a special event (contest etc)

How about a Luby's or Ryan's?...They accomodate large groups and everybody needs to eat anyway...Ben

Autumn, the Woodlands Cycling Club meets at the Adobe Cafe, southbound feeder of I-45
between SH242 and Research Forest. I understand they allow them to use the upstairs room for free since most people come in early and eat there before the meeting (even during the meeting). Great food by the way...

I like the idea of meeting at a restaurant. I think Adobe would be great if that works out. Another possibility might be the woodlands recreation center on research, though I'm not sure how big their rooms are. Perhaps area churches are a consideration as well. The nice thing about the library was that it was open during meeting hours already. Dealing with places where a key is needed to open up can get a bit tricky if the person with the key doesn't show...

Good ideas everyone ......

We basically are outgrowing our current location as we speak and also, they have changed their reservation scheduling, so we are basically on a month to month basis for room reservations. That pretty much stinks when we have to wrangle 60-70 people per meeting from one location to another.

Considerations for a room would be:
  • little or no cost each month (our current location at library there is no charge)
  • be able to reserve the room same day of the month each month
  • location in the Woodlands
  • chairs and tables to be available for our use
  • projection screen is helpful (we have our own projector)
  • tables for laptops to do slideshows and speaker presentations
  • electrical outlet availability
  • ability to have on display our photos for our twice annual photo contests (generally 75-150 photos each time) This would mean walls with ability for us to use photo hooks.
  • room to hold 75-100 people (or more) for meetings that would be private, away from public activity
  • We are able to do our own room setup (tables and chairs)
  • We always do our own cleanup related to refreshments and snacks that we bring each time
Certainly if anyone knows of a corporate, educational or other location that might want to donate a room for our use each month there may be something of a reciprocal nature that the club can do for room use.

Thanks to all the hardworking board members, volunteers and club members that are making this club so successful.

So please speak up if you even THINK you have an idea we should pursue. We would be glad to followup any leads.
